Job Description

We’re on the lookout for a Private Tours Coordinator & Operations Assistant to join our North America Tour Operations Team!

This is a junior, full-time role that’s perfect for someone who loves travel, is super organised, and enjoys helping people have amazing experiences. You’ll be part of a small but mighty team focused on delivering top-notch service to our private and custom tour guests across North America.

You'll work closely with our North America Operations Manager, plus collaborate with team members across Global Operations, Customer Service, and more.

This role is fully remote so you can work from anywhere in the US.

Please note that this role will require some weekend working.

What this role involves…

Private Tours, Small Groups and Custom Tour Sales and Operations Support

  • Respond to inquiries for private, custom, or small group tours (like school or corporate groups who can’t book their tours directly on our website).
  • Chat with potential guests via email, phone or web form to figure out what they’re looking for.
  • Put together and send proposals, quotes, and contracts (we’ll show you how).
  • Coordinate with our Tour Operations and Reservations & Customer Service teams to check availability and get everything set up.
  • Keep in touch with clients (like travel agents or schools) to make sure everything runs smoothly.
  • Track leads, follow up on open quotes, and help convert interest into bookings.
  • Work with the marketing team to highlight our awesome private tours and help grow this area.

Practical Task and Presentation: (1 hour) If both you and our North America Operations Manager feel there is a strong alignment between what you’re looking for in your next role, and what we need in our team, you will be invited to complete a practical task which you will then present in your second meeting. You will be presenting your task to our North America Operations Manager, Head of Tour Operations and one other team member.

Peer Interview (30 minutes): The chance to meet two more team members and learn more about the role, and what it's like to work at ExperienceFirst
