Job Title: Medical Office Assistant/Scheduler

Employment Status: Non-Exempt

Department: Administration

Job Summary:
We are seeking a highly organized and detail-oriented Medical Office Assistant/Scheduler to join our team. The ideal candidate will provide administrative support to ensure efficient operation of the office. The Medical Office Assistant/Scheduler will be responsible for handling various tasks, including managing calendars, coordinating meetings, and transcribing documents. Responsibilities:
  • Provide administrative support to ensure smooth daily operations
  • Manage calendars and schedule appointments
  • Coordinate and schedule meetings, including preparing agendas and taking minutes
  • Answer phone calls and respond to inquiries in a professional and courteous manner
  • Prepare and edit correspondence, reports, and presentations
  • Proofread documents for accuracy and completeness
  • Assist with event planning and coordination
  • Maintain office supplies inventory and place orders when necessary
  • Perform general clerical duties, such as filing, photocopying, and scanning
Requirements:
  • Proven experience as an administrative assistant or similar role
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Proficient in using SharePoint, Google Suite (Docs, Sheets, Slides) and other office software
  • Correct grammar, spelling and punctuation in all written communication
  • Attention to detail and problem-solving skills
  • Ability to handle sensitive information with confidentiality
  • Knowledge of HIPAA and medical office procedures is a plus
  • Ability to transcribe documents accurately
  • Professional tone and clarity when drafting emails, reports, documents and answering phones
Qualification & Education:
  • High School Diploma/ Associate Degree preferred
  • At least 2 years of related experience
  • Healthcare experience preferred
Physical Requirements
  • Seeing: Must be able to see well enough to read emails, documents, reports, etc.
  • Hearing: Must be able to hear well enough to communicate with other staff, clients, vendors, etc.
  • Standing/Walking: Must be able to move about the office, including up and down stairs
  • Climbing/stooping/kneeling: Must be able to stoop or kneel to pick up small items, file documents, etc.
  • Lifting/pulling/pushing: Minimal lifting required in this position
  • Fingering/grasping/feeling: Must be able to type and use technical sources.

Working Conditions: Normal working conditions absent extreme factors
