Harris Beach Murtha is seeking a Legal Administrative Assistant to join our Commercial Real Estate team in our Rochester, NY office. You will THRIVE in this role if you have:

  • 3+ years of legal administrative experience, preferably in commercial real estate transactions
  • Strong communication and client service skills
  • Proficiency in MS Office Applications
  • Excellent time management, multitasking, and organizational abilities
  • Exceptional oral and written communication, including excellent spelling, grammar, punctuation, form, and style
The Legal Administrative Assistant will work primarily on matters with large and small commercial developers, institutional lenders, corporations, partnerships and other entities in the sale, purchase, and leasing of commercial real estate. Do you have the DRIVE and DESIRE to:
  • Set up new client matters and draft/edit Engagement Letters
  • Follow-up with clients to schedule appointments and obtain signatures on various documents
  • Coordinate financing documents for closings
  • Draft contracts, correspondence and memoranda
  • Coordinate document recording with County Clerk
  • Order title and surveys and other third party deliverables
  • Organize and complete closing books (physical & electronic) for distribution
  • Coordinate with messenger services for the prompt delivery of documents
  • Process check requests, invoices and attorney and paralegal expense reimbursement requests
  • Manage calendars, phone calls, and document scanning/profiling
  • Handle incoming and outgoing mail, date stamp and distribute upon receipt
  • Coordinate mass mailings including filings with local, state and federal courts and agencies
  • Handle travel arrangements for attorneys, paralegals and clients

Salary information below will vary depending upon relevant experience for the position, geographic locations and weekly hours schedule. The anticipated weekly schedule for the Legal Administrative Assistant in Rochester is 38.75 hours per week.
