ACCUDATA & CO. is a CPA and advisory firm headquartered in Laguna Beach, CA. We provide tax, accounting, and financial consulting services to individuals, businesses, and fiduciaries, with a mission to deliver high-quality service and build long-term client relationships.
We are seeking a Part-Time Assistant Tax Office Manager to support daily operations, manage client workflow, and help maintain efficient, deadline-driven processes in our tax department. This role is ideal for someone who is detail-oriented, organized, and comfortable working in a fast-paced professional environment.
Key Responsibilities
Client & Workflow Management
Manage and organize client files for individual, business, corporate, and fiduciary engagements.
Track workflow and federal/state filing deadlines to ensure timely completion of tax returns.
Communicate with clients regarding missing documents, status updates, and general inquiries.
Request, collect, upload, and maintain digital documents in SmartVault, OfficeTools, and other firm systems.
Engagement Letters & DocuSign Coordination
Prepare, send, and track engagement letters for all tax and advisory services.
Manage DocuSign envelopes to ensure clients receive, review, and sign documents promptly.
Maintain records of all signed engagement letters and follow up as needed.
Accounts Receivable / Accounts Payable
Monitor and manage firm-wide A/R aging reports
Follow up with clients on outstanding invoices in a professional and relationship-focused manner
Coordinate with partners and managers on billing issues, write-offs, and payment plans
Prepare weekly and monthly A/R status reports for leadership
Assist with improving A/R processes, billing workflows, and collection strategies
Work closely with accounting and admin teams to ensure accurate invoicing and posting of payments
Tax Return & Document Processing
Input and update tax data in preparation software (Lacerte)
Assemble tax return packages for internal review and client signature.
Prepare, send, and track federal and state e-file authorization forms.
Monitor IRS and FTB e-file transmissions, resolve rejections, and maintain filing logs.
Administrative & Office Support
Assist the Office Manager with workflow coordination and administrative tasks.
Provide support to partners and tax professionals as needed.
Help ensure smooth office operations, especially during tax season.
Compliance & Recordkeeping
Maintain accurate records of filed returns, notices, payments, and correspondence.
Prepare standard compliance letters and forms, including IRS Form 2848 (POA) and FTB Power of Attorney documents.
Ensure documents meet IRS, FTB, and other state agency filing requirements.
Track and manage estimated tax payments, extensions, and compliance notices.
Qualifications
Proficiency in QuickBooks (required)
Experience with Accounts Receivable and Accounts Payable (required)
Familiarity with DocuSign, engagement letters, and tax workflow systems preferred.
Previous experience in a CPA firm or professional services environment is a strong plus.
Strong organizational, communication, and follow-through skills.
Ability to manage multiple priorities in a deadline-driven environment.
Comfortable working with tax documents, financial data, and confidential information.
Schedule & Compensation
Part-Time position (hours flexible; increased hours available during tax season).
Competitive hourly rate based on experience.
